# Workflow assessment template

AI Systems Studio · 2026-09-13

This is an editable planning template, not a completed client assessment. Replace placeholders with permitted observations and label assumptions. The public sample uses a fictional document-intake workflow.

## Decision and scope

- Workflow owner:
- Decision needed:
- Trigger and input type:
- Reviewer and destination:
- Included process steps:
- Exclusions:

## Current workflow and baseline

Map trigger → intake → work → review → destination → exceptions.
Record observation period, input volume, handling time, review time, correction frequency, duplicates, queue age, and known data limitations.

## Options

Compare process change/structured form, deterministic rules, and bounded model assistance. For each option record build effort, operating effort, expected failure modes, data requirements, and reasons to choose or reject it.

## Data and controls

List source owner, allowed users, sensitivity, provider permissions, storage, retention, deletion, logging and destinations. Identify exactly which writes require human approval.

## Risk register

| Risk | Trigger | Control | Owner | Verification | Open question |
|---|---|---|---|---|---|
| Missing field | Amount absent | Hold for reviewer | To assign | Missing-field fixture | Who confirms source? |
| Duplicate | Reference repeated | Idempotent write | To assign | Replay same approved candidate | Which key is durable? |
| Incorrect write | Destination or value wrong | Approval bound to candidate | To assign | Edit after approval | How long does approval last? |

## Evaluation and pilot decision

- Representative input set and expected outputs:
- Quality and handling-effort targets, with rationale:
- Access-control and approval checks:
- Stop criteria:
- Manual fallback and support owner:
- Recommendation: proceed / prepare / no build
- Evidence supporting the recommendation:
- Unresolved assumptions and next review date:

## Commercial scope

The current public assessment planning range is $1,500–$3,000, typically 5–10 business days for one bounded workflow. Scope, timing and price are agreed before work begins. Implementation is separate. This template is not a proposal or contract.
